Welcome to BW Ventures B.V.’s privacy policy. At BW Ventures B.V. (“BW Ventures”, “we”, “us”, or “our”), we care about your privacy and are committed to handling your personal data responsibly. This policy explains what information we collect, how we use it,and the choices you have. This privacy policy applies to our website as well as the applications and digital tools we use as part of our services.

What do we mean by Personal information?
“Personal information” (also referred to as “personal data”) means any information that relates to you and that can be used to identify you directly or indirectly. Examples include, but are not limited to:

Information that is anonymized or aggregated in such away that you can no longer be identified is not considered personal information under this policy.

How do we collect information about you?
We collect personal information in the following ways: 

1. You provide it directly
When you interact with our Services, such as creating an account for our applications, filling out a form, booking a discovery call, or communicating with our team, you may provide personal details voluntarily. This can include amongst other things contact information, feedback, responses to innovation challenges, or submissions within our applications.

2. We collect it automatically
When you use our website or applications, we may automatically collect technical data such as:

• Your IP Aaddress
• Device type and browser
• Pages viewed and time spent on page
• General location (e.g. city-level based on IP)

This helps us understand how users interact with our Website and Services so we can improve functionality and userexperience. Where required, we request your consent before placing cookies or similar technologies.

3. We may receive it from Third Parties
In some cases, we receive information about you from third parties, such as:

• Partners participating in a programme with you (e.g. team members or coaches)
• Tools or platforms we use to deliver our services (e.g. analytics or communication tools)

We only use this information where it is legally allowed and relevant to our operations.

Who owns and controls your data?
You remain the sole owner and maintain control of your data. Any information  you submit or upload for the use of our Services are referred to as Customer Data, and you retain full ownership of it. You decide what information is shared with us and what is stored in our systems. Once uploaded, you can either manage the information personally or file a deletion/anonymization request with your contact person at BW Ventures, or through our dedicated inbox privacy@bwventures.nl. In addition, you are responsible for managing the data acquired by you during the use of our services.

How do we use your Account Information?
‍We may collect and use account-related information such as your name, email address, loginactivity, and usage preferences to:

• Provide and maintain access to our services
• Communicate with you regarding your account or program participation
• Ensure the security of your account and our platforms
• Improve the user experience based on aggregated usage patterns.

General Data Protection Regulation (GDPR)
The GDPR is a comprehensive privacy law that regulates how personal data of residents of the European Union is collected, used, and stored. It gives data subjects significant rights and control over their own personal information. Because the GDPR is regarded as one of the most robust privacy standards globally, we have aligned our privacy approach with its principles as well as with other applicable international data protection regulations.

BW Ventures as Data Processor and Data Controller
Under the GDPR and similar data protection laws, organizations involved in handling personal data are typically classified as either data controllers or data processors. A data controller is the entity that determines the purposes and means of processing personal data. A data processor, on the other hand, processes personal data on behalf of the data controller, based on their instructions.

In situations where our customers act as data controllers or processors, BW Ventures operates as a data processor for the personal data that customers and their users submit to our services. We process this data strictly in line with our customer’s instructions and solely for purposes agreed upon by them for the use of our services.

All such processing is conducted in accordance with our Data Processing Addendum, which forms part of our agreement with the customer.

Subprocessor List
We work with certain companies and tools to provide our services to you. In order to provide our services, BW Ventures uses facilities, tools and services provided by the Subprocessors listed in the tables below. A Subprocessor is a third-party who is employed by to process Customer Personal Data required for the use of our tools and services.

Data Export
Companies generally have a duty to back up their information in multiple places as well as collecting/maintaining for future reference. To assist this, BW Ventures offers the option to export data from our applications either upon request via our dedicated inbox (privacy@bwventures.nl) or through the application themselves. For more information on how to extract the desired data from our platforms please contact your contact person or mail us at the aforementioned inbox.

Data Anonymization and Deletion
‍In order to delete an account, anonymize customer data or request the removal of said information please get in touch with your contact person and/or file a request through the dedicated inbox (privacy@bwventures.nl). We aim to handle each request in a timely manner. You will be informed upon completion. Please bear in mind that once permanently deleted data cannot be retrieved.

Data Backup
‍All Customer Data is stored in the cloud, and we keep day to day backup to ensure you maintain access to your data even in the event of data corruption and/or accidental deletion depending on the services used.
